Mail Merge for Contracts: Sending One Document to Many Signers

Short answer: if you have ever needed to send the same offer letter to twelve new hires, or the same trip-permission form to forty parents, you know the problem with treating each one as a separate document: it is the same template, over and over, with only a name or a date changing. Mail merge is built for exactly this. Upload one template, attach a list of recipients, and SignNXT generates and sends an individual document to each person, with their own details filled in and their own signing link, tracked separately from everyone else's.

What mail merge actually does (and doesn't do)

Mail merge is not one shared document that forty people sign together. Each recipient gets their own, separate document instance, generated from the same template but filled with that person's data. Each one has its own signing link, its own progress, and its own record in your campaign. If one person declines or one email bounces, it has no effect on anyone else's copy.

The mail-merge campaign tool handles this end to end: build or choose a template once, bring your recipient data, and SignNXT creates one document per row.

How it works, step by step

  1. Start from a template. A reusable template with role-based signers (for example, "Employee" or "Parent/Guardian") means you are not placing fields from scratch for every campaign.
  2. Bring your recipient list. Upload a CSV or Excel file, or reuse a saved Contacts list ("Year 10 Parents," "New Hires Q1"). Saved lists carry over categories and tags, and do not need re-uploading every time.
  3. Map your columns. Each column maps to a merge field: text, number, date, email, phone, checkbox, or dropdown. These seven merge-field types are auto-filled per recipient from your data; they are separate from the four fields a signer actually fills in themselves (signature, initials, date, text). If you have built the template with AI Auto-Detect, much of this labeling is proposed for you and you just confirm it.
  4. Check before you send. A pre-send suppression check flags any recipient on a bounce or complaint list, so you catch bad addresses before a campaign goes out, not after.
  5. Send. SignNXT generates and emails each recipient their own document. No recipient needs a SignNXT account to open or sign theirs.

Tracking the campaign once it's out

A mail-merge send is not a fire-and-forget email blast. The campaign dashboard shows Total, Sent, Signed, and Failed counts with a progress bar, and you can filter by status or time range. An email delivery breakdown (Delivered, Bounced, Complained) sits alongside it, so a stuck campaign is visible immediately rather than something you discover a week later.

Two details worth knowing before your first large send:

  • Filled Form Values table. Every value a signer entered or that was merged in, across the whole campaign, is in one table, exportable to CSV in one click. If you need the signed data back in your HRIS or school management system, this is the fastest path.
  • One-click ZIP download. Download every signed PDF or every Certificate of Completion from a campaign in one archive, rather than opening each document individually.

Two real use cases, one mechanic

HR teams use mail merge for exactly the scenario this post opened with: the same offer letter or onboarding packet going to every new hire in a cohort, not one at a time. If you are building that workflow, our offer letter e-signature guide and our piece on getting onboarding documents signed before day one cover the template and sequencing side of it in more depth.

Schools use the same mechanic for parent consent at scale: a trip-permission form that needs forty parent signatures by Friday is a mail-merge job, not forty separate emails. We have written about the bulk-send side of that specifically in digital consent forms for school trips and events.

Different audience, same underlying tool: one template, a recipient list, and documents that generate and track themselves individually.

Limits and which plan you need

Mail merge campaigns are capped at 100 recipients per day per user. That is a per-user daily limit, not a one-time campaign size cap, so a 500-person send spreads across several days rather than happening in a single batch. Teams with a genuinely higher volume need can request a custom bulk-send limit (for example, 300/day) as a named custom-plan arrangement; it is not something every account gets by default.

Mail merge, along with templates, saved Contacts lists, and custom branding, is included on the Professional plan ($20/user/month or $192/user/year), not on Starter. You can try it during the free 7-day trial (card required at signup, auto-charged on day 7 unless you cancel), where campaigns are capped at 10 recipients so you can test the workflow before deciding. See pricing for the full plan comparison.

FAQ

What is the difference between mail merge and just sending the same document to a group?
With mail merge, each recipient gets their own separate document, generated from one template but filled with their own data from a CSV, Excel file, or saved contacts list. It is not one shared document that multiple people sign; each copy is tracked, signed, and can be reminded or voided independently.
How many documents can I send in a single mail-merge campaign?
Sends are capped at 100 recipients per day per user. A larger list sends across multiple days rather than all at once. Higher limits are available only as a named custom-plan arrangement for teams with a genuine high-volume need.
What file formats can I use to upload my recipient list?
CSV or Excel (.xlsx), with column auto-mapping, or a saved Contacts list you have already built and can reuse across campaigns without re-uploading.
Can I tell which merge fields are filled in automatically versus fields the signer fills in themselves?
Yes. Signature, initials, date, and text fields are filled in by the signer. Text, number, date, email, phone, checkbox, and dropdown merge fields are auto-filled per recipient from your uploaded data; they are a separate category, not something the signer places themselves.
Is mail merge available on every plan?
No. Mail merge, templates, saved Contacts lists, and branding are Professional-plan features ($20/user/month or $192/user/year), not included on Starter. The free 7-day trial lets you try mail merge with campaigns capped at 10 recipients before you subscribe.

Try mail merge on your own template

Build one template, bring a recipient list, and see each document generate and track itself. Mail merge is part of the Professional plan.
