Common Issues

Quick solutions to common problems you might encounter while using SignNXT.

Most issues can be resolved quickly with these troubleshooting steps. If problems persist, contact support@signnxt.com.


PDF Not Loading

Problem

PDF document won't load or shows "Failed to load PDF" error.

Possible Causes

  1. Network connection issues
  2. Browser compatibility
  3. Presigned URL expired
  4. CORS configuration
  5. File not found (deleted)
  6. Browser cache issues

Solutions

Step 1: Refresh the Page

Press F5 or Ctrl+R (Cmd+R on Mac) to reload the page.

Step 2: Check Internet Connection

Ensure you have a stable internet connection.

Step 3: Try Different Browser

Test in Chrome, Firefox, Safari, or Edge.

Step 4: Clear Browser Cache

  1. Open browser settings
  2. Clear browsing data
  3. Select "Cached images and files"
  4. Clear and restart browser

Step 5: Disable Browser Extensions

Temporarily disable ad blockers or security extensions that might block content.

Step 6: Check if Document Exists

Verify the document hasn't been deleted or voided.

If the PDF still won't load after trying these steps, the document may have been deleted or there may be a server issue. Contact support.


Email Not Received

Problem

Signer didn't receive the signing invitation email.

Possible Causes

  1. Email in spam/junk folder
  2. Incorrect email address
  3. Email server blocking
  4. Email not verified (sender)
  5. Aggressive spam filters
  6. Email bounced

Solutions

Step 1: Check Spam/Junk Folder

Ask signer to check their spam, junk, or promotions folder.

Step 2: Verify Email Address

  1. Go to document details
  2. Check signer's email address
  3. Look for typos or incorrect domain
  4. Update if needed and resend

Step 3: Add to Safe Senders

Ask signer to add noreply@signnxt.com to their contacts or safe senders list.

Step 4: Check Email Verification

Ensure your email address is verified in Profile settings.

Step 5: Try Different Email

If corporate email is blocked, try personal email (Gmail, Outlook, etc.).

Step 6: Resend Document

Click "Resend" button in document details to send another invitation.

Corporate email servers often have strict spam filters. Ask IT department to whitelist noreply@signnxt.com.


Signature Not Saving

Problem

Signature doesn't save or disappears after drawing.

Possible Causes

  1. Network connection lost
  2. Session expired
  3. Browser issues
  4. Required fields not filled
  5. Validation errors
  6. JavaScript disabled

Solutions

Step 1: Check Internet Connection

Ensure stable internet connection before signing.

Step 2: Fill All Required Fields

Complete all fields marked with red asterisk (*) before submitting.

Step 3: Try Again

Redraw signature and click "Adopt and Sign" immediately.

Step 4: Use Different Input Method

If drawing doesn't work, try typing your name or uploading signature image.

Step 5: Clear Browser Cache

Clear cache and cookies, then try again.

Step 6: Try Different Browser

Test in Chrome, Firefox, Safari, or Edge.


Fields Not Appearing

Problem

Document fields are not visible or not showing up.

Possible Causes

  1. PDF not fully loaded
  2. Wrong page number
  3. Field outside visible area
  4. Browser zoom issues
  5. Sequential signing (waiting)
  6. JavaScript disabled

Solutions

Step 1: Wait for PDF to Load

Ensure PDF is fully loaded before looking for fields.

Step 2: Scroll Through All Pages

Fields may be on different pages - scroll through entire document.

Step 3: Reset Zoom Level

Press Ctrl+0 (Cmd+0 on Mac) to reset zoom to 100%.

Step 4: Check Signing Order

If sequential signing, you may need to wait for previous signer.

Step 5: Refresh Page

Press F5 or Ctrl+R to reload the document.

Step 6: Enable JavaScript

Ensure JavaScript is enabled in browser settings.

If you see "Waiting for Previous Signer" message, fields are hidden until it's your turn in the signing sequence.


Login Issues

Problem

Cannot log in to your account.

Possible Causes

  1. Incorrect password
  2. Email not verified
  3. Account suspended
  4. Workspace deleted
  5. Browser cookies disabled
  6. Caps Lock on

Solutions

Step 1: Check Caps Lock

Ensure Caps Lock is off - passwords are case-sensitive.

Step 2: Reset Password

Click "Forgot Password" and follow reset instructions.

Step 3: Verify Email

Check your email for verification link if account is new.

Step 4: Enable Cookies

Ensure browser cookies are enabled in settings.

Step 5: Clear Browser Data

Clear cookies and cache, then try logging in again.

Step 6: Try Different Browser

Test login in Chrome, Firefox, Safari, or Edge.

If you see "Workspace deleted" message, your workspace may be in the 30-day grace period. Contact the workspace owner to restore it.


Payment Issues

Problem

Payment declined or subscription payment failed.

Possible Causes

  1. Card declined by bank
  2. Insufficient funds
  3. Expired card
  4. Incorrect card details
  5. Bank blocking international charges
  6. 3D Secure authentication failed

Solutions

Step 1: Verify Card Details

Check card number, expiry date, and CVC are correct.

Step 2: Check Card Balance

Ensure sufficient funds available.

Step 3: Contact Your Bank

Ask bank to authorize the charge - they may be blocking it.

Step 4: Try Different Card

Use another credit or debit card.

Step 5: Update Payment Method

Go to Settings > Billing > Payment Methods and update card.

Step 6: Complete 3D Secure

If prompted, complete 3D Secure authentication with your bank.

Some banks block international charges by default. Contact your bank to authorize charges from Stripe (our payment processor).


Document Won't Send

Problem

Cannot send document for signatures.

Possible Causes

  1. Missing required information
  2. No signers added
  3. No fields placed
  4. Invalid email addresses
  5. Network error
  6. Subscription expired

Solutions

Step 1: Check All Signers Added

Ensure at least one signer is added with valid email.

Step 2: Verify Fields Placed

Place at least one signature field for each signer.

Step 3: Fill Required Information

Complete document name and all required settings.

Step 4: Validate Email Addresses

Check all signer emails are valid and correctly formatted.

Step 5: Check Subscription Status

Ensure your subscription is active (not expired or past due).

Step 6: Try Again

Wait a moment and click "Send" again.


Template Won't Save

Problem

Template changes won't save or error occurs.

Possible Causes

  1. Network connection lost
  2. Session expired
  3. Missing required fields
  4. No roles defined
  5. Browser issues
  6. Server error

Solutions

Step 1: Check Internet Connection

Ensure stable connection before saving.

Step 2: Add at Least One Role

Templates require at least one role to be defined.

Step 3: Complete Required Fields

Fill in template name and all required information.

Step 4: Try Saving Again

Click "Save Template" button again after a moment.

Step 5: Refresh and Retry

If error persists, refresh page and try again (changes may be lost).

Step 6: Contact Support

If problem continues, contact support with error details.


Campaign Not Processing

Problem

Campaign stuck or not sending documents.

Possible Causes

  1. CSV format errors
  2. Missing required columns
  3. Invalid email addresses
  4. Server processing delay
  5. Subscription limits reached
  6. Template issues

Solutions

Step 1: Check CSV Format

Ensure CSV is properly formatted with correct columns.

Step 2: Verify Column Mapping

Check all required columns are mapped correctly.

Step 3: Validate Email Addresses

Ensure all recipient emails are valid.

Step 4: Wait for Processing

Large campaigns may take time - check back in 5-10 minutes.

Step 5: Check Daily Limits

Verify you haven't exceeded daily sending limits.

Step 6: Review Error Log

Check campaign details for specific error messages.

Campaigns are processed in the background. Large campaigns (1000+ recipients) may take 10-30 minutes to complete.


Certificate Won't Verify

Problem

Certificate verification fails or shows error.

Possible Causes

  1. Certificate tampered with
  2. Invalid document ID
  3. Document doesn't exist
  4. Hash mismatch
  5. Network error
  6. Certificate not generated

Solutions

Step 1: Check Document ID

Verify document ID is correct (no typos).

Step 2: Scan QR Code Again

If using QR code, try scanning again with better lighting.

Step 3: Use Original Certificate

Ensure you're verifying the original certificate PDF, not a copy or screenshot.

Step 4: Check Internet Connection

Verification requires internet connection.

Step 5: Try Different Browser

Test verification in another browser.

Step 6: Contact Issuer

If verification fails, contact the document sender for a new certificate.

If certificate verification fails, the certificate may have been tampered with. Do not trust it - contact the issuer immediately.
