Campaign Settings

Campaign settings let you control how your bulk send behaves - from automatic reminders to document expiry dates. Configuring these settings properly can significantly improve your completion rates and streamline your workflow.

Set During Creation

All campaign settings are configured when creating the campaign. They apply to all documents in that campaign automatically.

Available Settings

Campaign settings are configured in Step 3 of the campaign wizard:

1. Document Naming - How documents are named
2. Reminder Settings - Automatic follow-ups
3. Expiry Settings - Document deadlines
4. Certificate Generation - Proof of completion

Document Naming

Choose how documents in your campaign will be named.

Naming Options

1. Row Number (Default)

Documents named: "Document 1", "Document 2", etc.
Simple and sequential
Good for: Generic campaigns

2. CSV Column

Use data from a specific column
Example: Use "Employee Name" column
Result: "John Smith", "Jane Doe", etc.
Good for: Personalized tracking

3. Template Name + Column

Combines template name with CSV data
Example: "Employment Contract - John Smith"
Most descriptive option
Good for: Professional appearance


Best Practices

Use meaningful names - Easy to find documents later
Include identifier - Name, ID, or reference number
Keep consistent - Same format across campaigns
Avoid special characters - Stick to letters, numbers, spaces

Document Names

Document names are visible to signers in emails and on the signing page. Choose names that are professional and clear.

Enable Reminders

Check the box to enable automatic reminders for this campaign.

When enabled:
Reminders sent automatically to non-signers
No manual follow-up needed
Improves completion rates by 30-50%

When disabled:
No automatic reminders
Must send reminders manually
Lower completion rates


First Reminder

Set when the first reminder is sent.

Configuration:
Days after sending: Number of days to wait
Recommended: 3-5 days
Range: 1-30 days

Examples:
3 days: Good for urgent documents
5 days: Standard for most documents
7 days: For less urgent documents


Recurring Reminders (Optional)

Set how often to repeat reminders after the first one.

Configuration:
Repeat every X days: Frequency of reminders
Recommended: 7 days
Range: 1-30 days
Leave empty: No recurring reminders

Examples:
Every 7 days: Weekly reminders
Every 3 days: More frequent follow-ups
Empty: Only one reminder

Settings:
First reminder: 3 days
Recurring: Every 7 days

Timeline:
Day 0: Document sent
Day 3: First reminder
Day 10: Second reminder
Day 17: Third reminder
Day 24: Fourth reminder
Continues until signed or expired

Enable Expiry

Set when documents expire (become invalid for signing).

Configuration:
Expiry days: Days until document expires
Recommended: 30 days
Range: 1-365 days
Leave empty: No expiry

What happens when expired:
Document can no longer be signed
Signing link becomes invalid
Document marked as "Expired"
Must create new document to get signature


Expiry Warning

Send warning email before document expires.

Configuration:
Warning days: Days before expiry to warn
Recommended: 7 days
Range: 1-30 days
Leave empty: No warning

Example:
Expiry: 30 days
Warning: 7 days
Result: Warning sent on day 23, expires on day 30


When to Use Expiry

Good for:
Time-sensitive documents - Contracts with deadlines
Creating urgency - Encourage faster signing
Compliance - Documents must be signed by date
Seasonal campaigns - School enrollment, annual renewals

Not needed for:
Evergreen documents - No time pressure
Internal documents - Can wait indefinitely
Reference documents - For information only


Expiry Best Practices

30 days standard - Good balance of time and urgency
7-day warning - Enough time to act
Combine with reminders - Maximize completion
Communicate deadline - Tell recipients upfront
Plan for extensions - Have process for expired docs

Expired Documents

Once expired, documents cannot be signed. You'll need to create and send a new document. Plan expiry dates carefully!

Enable Certificate of Completion for all documents in the campaign.

What Are Certificates of Completion?

Certificates of Completion are PDF documents that provide:
Proof that document was signed
Who signed and when
IP addresses and timestamps
Audit trail summary


Enable for Campaign

Check the box to generate certificates for all documents.

When enabled:
Certificate generated after all signatures complete
Sent to all parties automatically
Available for download
Stored permanently

When disabled:
No certificates generated
Audit trail still available in system
Can enable for individual documents later


When to Use Certificates

Recommended for:
Legal documents - Contracts, agreements
Compliance - Regulatory requirements
High-value transactions - Extra proof needed
External parties - Clients, vendors
Audit requirements - Need documentation

Optional for:
Internal documents - Team acknowledgments
Simple forms - Low-risk documents
Informal agreements - No legal implications

No Extra Cost

Certificate generation is included at no additional cost. Enable it whenever you need extra proof of signing!

Daily Sending Limits

Understand and manage your daily sending quota.

How Limits Work

Professional Plan:
Default limit: 100 documents per day per user
Resets: Automatically at midnight
Per user: Each team member has own limit
Reserved: Quota reserved when campaign created


Checking Your Limit

In the campaign wizard, you'll see:
Daily limit: Your total quota (e.g., 100)
Used today: How many sent so far
Remaining: Available quota
Campaign size: How many this campaign needs

Example:
Daily limit: 100
Used today: 25
Remaining: 75
Campaign size: 50
After campaign: 25 remaining


Exceeding Limits

If campaign exceeds your remaining quota:
Error message displayed
Cannot create campaign
Options: Reduce size, wait until tomorrow, upgrade limit


Upgrading Limits

Need higher limits? Contact support for:
Custom daily limits - 200, 500, 1000+ per day
Temporary increases - For one-time campaigns
Permanent upgrades - For regular high-volume use
Flexible expiry - Set custom expiration dates

Why: Event has fixed date. Short expiry matches event timeline. Frequent reminders.
