Tracking Campaign Progress

Once your campaign is running, SignNXT provides powerful tools to track progress, monitor completion rates, and manage your campaign. This guide shows you how to use the campaign dashboard and detail pages effectively.

Campaign statistics update in real-time as documents are created, sent, and signed. No need to refresh the page!

Campaigns Dashboard

The Campaigns dashboard is your central hub for managing all campaigns.

Accessing the Dashboard

From your main navigation, click "Campaigns" to open the dashboard.

The dashboard shows:

Campaign list - All your campaigns
Status badges - Visual status indicators
Statistics - Quick metrics for each campaign

Campaign List

Campaign Cards

Each campaign is displayed in a table row showing:

Information Displayed:

1. Campaign Name - Your chosen name
2. Status Badge - Current status (Draft, Processing, Completed, Failed, Paused)
3. Total Recipients - How many documents in campaign
4. Documents Created - How many documents generated
5. Documents Sent - How many emails sent
6. Documents Signed - How many completed
7. Documents Failed - How many errors
8. Created Date - When campaign was created
9. Actions - View, Edit (drafts), Delete (drafts)


Status Badges

Campaigns have different statuses:

Draft (Gray)
Campaign saved but not started
No documents created yet
Can edit or delete

Processing (Blue)
Campaign is actively creating/sending documents
Progress updates in real-time
Can pause or view details

Completed (Green)
All documents created and sent
Campaign finished successfully
Can view final statistics

Failed (Red)
Campaign encountered critical error
Processing stopped
Check error logs for details

Search and Filters

Find specific campaigns quickly using search and filters.

All Status - Show everything
Draft - Only drafts
Processing - Currently running

Summary Statistics

At the bottom of the dashboard, see overall campaign metrics:

Total Campaigns - All campaigns created
Processing - Currently running campaigns
Completed - Successfully finished campaigns
Total Recipients - Sum of all recipients across campaigns

These help you understand your overall campaign activity at a glance.

Click on any campaign to view detailed information and statistics.

Shows:
Percentage complete (e.g., 75%)
Documents created vs total
Updates in real-time as processing continues


Statistics Cards

Four key metrics displayed prominently:

1. Total Recipients
Total number of documents in campaign
Based on CSV row count

2. Documents Created
How many documents generated from template
Increases as campaign processes

3. Documents Sent
How many emails sent to recipients
Should match created count (unless errors)

4. Documents Signed
How many recipients completed signing
Your completion rate indicator

5. Documents Failed
How many documents had errors
Click to see error details

Timeline

Shows key campaign events:

Events Tracked:
Created: When campaign was created
Started: When processing began
Completed: When all documents processed

Individual Document Status

See status of each document in the campaign:

For each document, see:

Row number - Which CSV row
Document name - Generated name
Recipient(s) - Who needs to sign
Status - Current state
Created date - When document was created
Actions - View document


Document Statuses

Pending (Gray)
Document created but not yet sent
Waiting in queue

Sent (Blue)
Email sent to recipient(s)
Waiting for signatures

Signed (Green)
All signers completed
Document finalized

Failed (Red)
Error occurred
See error message for details


Viewing Documents

Click on any document to:
View document details
See signing status
Download signed PDF
View audit trail

Error Logs

If documents failed, view detailed error information:


Error Information

For each failed document:

Row number - Which CSV row failed
Error message - What went wrong
Timestamp - When error occurred
Row data - CSV data for that row


Common Errors

Invalid email address
Email format is incorrect
Fix: Correct email in CSV and resend

Missing required data
Required field has no value
Fix: Add missing data and resend

Template not found
Template was deleted
Fix: Cannot fix, create new campaign

Daily limit exceeded
Ran out of quota mid-campaign
Fix: Resume tomorrow or upgrade limit


Exporting Error Logs

Download error logs as CSV to:

Campaign Controls

Manage your campaign with these controls:


View All Documents

View all Documents button

See all campaign documents

Opens filtered documents list showing only documents from this campaign.

Useful for:
Checking individual document status
Downloading signed documents
Sending manual reminders
Viewing audit trails


Refresh Statistics

While statistics update automatically, you can manually refresh using the Refresh icon in the top right of the campaign detailed page: Click refresh icon
Gets latest data from server
Updates all metrics

Managing Draft Campaigns

Campaigns saved as drafts have special options:

Edit Draft

Click "Edit Draft" to: Modify campaign settings
Change column mappings
Update reminder/expiry settings
Upload different CSV

Note: Can only edit drafts, not sent campaigns.

Delete Draft

Click "Delete" to: Remove draft campaign
Free up space
Clean up test campaigns

Confirmation required - cannot undo deletion.

Send Draft

When ready, click "Send" to: Start processing
Create and send documents
Change status to "Processing"

Understanding Campaign Metrics

Completion Rate

Calculate your campaign's success:

Formula: (Documents Signed / Total Recipients) × 100

Example: Total: 100 recipients
Signed: 75
Completion rate: 75%

Good completion rates: 80%+ = Excellent
60-80% = Good
40-60% = Average
<40% = Needs improvement

Failure Rate

Track errors in your campaign:

Formula: (Documents Failed / Total Recipients) × 100

Example: Total: 100 recipients
Failed: 5
Failure rate: 5%

Acceptable failure rates: <5% = Normal (email bounces, etc.)
5-10% = Review error logs
>10% = Data quality issue

Time to Complete

How long until all signatures collected:

Factors affecting time: Number of signers per document
Sequential vs parallel signing
Reminder frequency
Document urgency

Typical timelines: Simple (1 signer): 1-3 days
Complex (2+ signers): 3-7 days
With reminders: Faster completion

Campaign stuck at "Processing"

Problem: Campaign shows processing but no progress
Solutions: Refresh page to get latest status

Statistics not updating

Can't find campaign

Problem: Campaign not in list
Solutions: Check status filter (might be filtered out)

How often do statistics update?

Real-time! Statistics update automatically every few seconds as documents are processed and signed.


Can I download a report of campaign results?

Yes, you can export document lists and error logs as CSV files for reporting.


What happens to failed documents?

They're marked as failed in the error log. You can fix the issues and create a new campaign for those recipients.


Can I see who hasn't signed yet?

Yes, filter the document list by status "Sent" to see pending signatures.


How do I know when campaign is complete?

Status changes to "Completed" and you'll see 100% progress. All documents will show as sent.


Can I track individual document progress?

Yes, click on any document to see detailed status, signing progress, and audit trail.


What if I need to cancel a campaign?

Pause the campaign to stop processing. Documents already sent cannot be recalled.


How long are campaign statistics kept?

Forever! You can view campaign statistics anytime, even years later.
