Profile Settings

Your profile settings allow you to manage your personal information in SignNXT. Keep your details up to date to ensure smooth communication and collaboration.

All users can access their profile settings. Some settings tabs (Workspace, Billing, Team) are only visible to Owners and Admins.

Accessing Profile Settings

Step 1: Open Settings

Click Settings from the main navigation menu to access the profile settings screen.

Step 2: Go to Profile Tab

The Settings page opens with the Profile tab selected by default.


Profile Information

Your Name

You can update your display name at any time:

  1. Find the Full Name field
  2. Click in the field and edit your name
  3. Click Save Changes (if available)

Your name appears:

  • In the top navigation
  • In team member lists
  • In document activity logs
  • In email notifications to signers

Use your full professional name so colleagues and document signers can easily identify you.


Email Address

Your email address is displayed but cannot be changed through the settings page.

Why? Your email is your unique identifier in SignNXT and is used for:

  • Account login
  • Document notifications
  • Signing invitations
  • Security verification

If you need to change your email address, contact your workspace Owner or SignNXT support. Changing your email requires account verification for security.


Workspace Information

Your profile settings also display your current workspace information:

Workspace Name

A badge shows which workspace you're currently viewing. This is especially helpful if you're a member of multiple workspaces.


Your Role

Your workspace role is displayed to help you understand your permissions:

  • Owner - Full control of the workspace
  • Admin - Can manage users and settings
  • Member - Standard user access

Your role determines which settings tabs you can see. Owners and Admins see additional tabs (Workspace, Billing, Team), while Members only see the Profile tab.


Settings Tabs by Role

Different roles see different settings tabs:

Owner Sees:

  • ✅ Profile
  • ✅ Workspace
  • ✅ Billing
  • ✅ Team

Admin Sees:

  • ✅ Profile
  • ✅ Workspace
  • ✅ Team
  • ❌ Billing (Owner only)

Member Sees:

  • ✅ Profile
  • ❌ Workspace (Admin/Owner only)
  • ❌ Billing (Owner only)
  • ❌ Team (Admin/Owner only)

Switching Workspaces

If you're a member of multiple workspaces, you can switch between them:

Step 1: Open Workspace Switcher

Click the workspace name in the top navigation (next to the SignNXT logo).

Step 2: Select Workspace

A dropdown appears showing all workspaces you're a member of. Click the workspace you want to switch to.

Step 3: Settings Update

The Settings page automatically updates to show your profile and permissions in the selected workspace.

Your role may be different in each workspace. For example, you might be an Owner in one workspace and a Member in another.


Best Practices

Keep Your Name Professional

Use your full professional name:

Good:

  • "John Smith"
  • "Sarah Johnson"
  • "Michael Chen"

Avoid:

  • "Johnny"
  • "SJ"
  • "Mike123"

Why? Your name appears in emails to external signers and in audit logs. A professional name builds trust and credibility.


Check Your Workspace

Before making changes or creating documents:

  1. Check which workspace you're in (top navigation)
  2. Verify your role in that workspace
  3. Ensure you're in the correct workspace for your task

This prevents accidentally creating documents in the wrong workspace.


Understand Your Permissions

Know what you can and cannot do based on your role:

As a Member:

  • ✅ Create and manage your own documents
  • ✅ Update your profile
  • ❌ Invite new team members
  • ❌ Change workspace settings
  • ❌ Manage billing

As an Admin:

  • ✅ Everything Members can do, plus:
  • ✅ Invite and manage team members
  • ✅ Change workspace settings
  • ✅ Manage shared folders
  • ❌ Manage billing (Owner only)

As an Owner:

  • ✅ Everything Admins can do, plus:
  • ✅ Manage billing and subscription
  • ✅ Delete the workspace
  • ✅ Promote members to Admin

Troubleshooting

"I can't see the Workspace or Team tabs"

This is normal if you're a regular Member. Only Owners and Admins can access these tabs.

Solution: If you need access to these features, ask your workspace Owner to promote you to Admin.


"I can't change my email address"

Email addresses cannot be changed through the settings page for security reasons.

Solution:

  1. Contact your workspace Owner
  2. Or contact SignNXT support
  3. They can help you update your email with proper verification

"My name change isn't showing up"

If you updated your name but it's not reflecting:

  1. Refresh the page - Press F5 or Ctrl+R (Cmd+R on Mac)
  2. Check if you saved - Make sure you clicked "Save Changes"
  3. Log out and back in - Sometimes a fresh login helps
  4. Clear browser cache - If the issue persists

"I'm in the wrong workspace"

If you accidentally opened settings in the wrong workspace:

  1. Click the workspace name in the top navigation
  2. Select the correct workspace from the dropdown
  3. The settings page will update automatically

"I don't know my role"

Your role is displayed in several places:

  1. Settings page - Look for the role badge near your name
  2. Workspace switcher - Shows your role under each workspace name
  3. Available tabs - More tabs = higher role

If you're unsure, ask your workspace Owner or Admin.


Security Considerations

Protect Your Account

Your profile is tied to your account security:

  • ✅ Use a strong, unique password
  • ✅ Don't share your login credentials
  • ✅ Log out on shared computers
  • ✅ Keep your email address secure
  • ✅ Report suspicious activity immediately

Email Verification

Your email address is verified when you create your account. This ensures:

  • Only you can access your account
  • Document notifications reach you
  • Password resets are secure
  • Account recovery is possible

Never share your account with others. Each team member should have their own account for proper audit trails and security.
