Billing & Subscription Settings

The Billing tab in Settings allows Workspace Owners to manage subscriptions, payment methods, and billing history. This is your central hub for all billing-related tasks.

Only the Workspace Owner can access billing settings. Admins and Members cannot view or manage billing.

Accessing Billing Settings

Step 1: Verify You're the Owner

Only Workspace Owners can access billing. Check your role:

  • Look at the Profile tab in Settings
  • Check for "Owner" badge
  • Or check the workspace switcher dropdown

If you're an Admin or Member, you won't see the Billing tab. Contact your workspace Owner for billing matters.

Step 2: Open Settings

Click your profile icon in the top right corner and select Settings.

Step 3: Click Billing Tab

Click the Billing tab in the settings navigation.


What You Can Do in Billing Settings

The Billing tab provides access to all subscription and payment management:

1. View Current Plan

See your active subscription plan:

  • Plan name (Trial, Starter, Professional, Enterprise)
  • Billing cycle (Monthly or Annual)
  • Number of seats
  • Renewal date
  • Subscription status

2. Upgrade or Downgrade

Change your subscription plan:

  • Upgrade to Professional for advanced features
  • Downgrade to Starter to reduce costs
  • Switch between monthly and annual billing
  • Add or remove seats

3. Manage Payment Methods

Update your payment information:

  • Add new credit/debit card
  • Update existing card details
  • Change default payment method
  • Remove old payment methods

4. View Billing History

Access your complete billing history:

  • All past invoices
  • Payment dates and amounts
  • Download invoices as PDF
  • View payment status

5. Cancel Subscription

If needed, you can cancel your subscription:

  • Cancel at any time
  • Access continues until end of billing period
  • No refunds for remaining time
  • Can reactivate later

Canceling your subscription will prevent access to your workspace after the current billing period ends. Download important documents before canceling.

Trial Period

If you're on a trial:

What you see in Billing:

  • Trial status and days remaining
  • Trial end date
  • Option to upgrade before trial ends
  • No payment method required during trial

When trial ends:

  • Prompted to select a paid plan
  • Can upgrade to Starter or Professional
  • Or workspace access is restricted

Upgrade before your trial ends to avoid any interruption in service. You can upgrade at any time during the trial.


Subscription Status

Your subscription can have different statuses:

Active

  • Subscription is current
  • Full access to all features
  • Billing is up to date

Trialing 🎁

  • Free trial period
  • Full access to all features
  • No payment required yet

Past Due ⚠️

  • Payment failed
  • Limited access
  • Update payment method immediately

Canceled

  • Subscription was canceled
  • Access until end of billing period
  • Can reactivate

Expired 🚫

  • Subscription ended
  • No access to workspace
  • Must upgrade to regain access

If your subscription is Past Due or Expired, update your payment method immediately to restore access.

Troubleshooting

"I don't see the Billing tab"

Only Workspace Owners can see the Billing tab.

Solution:

  • Check your role in the Profile tab
  • If you're an Admin or Member, you cannot access billing
  • Contact your workspace Owner for billing matters
  • Or ask the Owner to transfer ownership (requires support)

"My payment failed"

If a payment fails:

  1. Check your card - Ensure it's not expired
  2. Check your balance - Ensure sufficient funds
  3. Update payment method - Add a new card
  4. Contact your bank - They may have blocked the charge
  5. Try again - Click "Retry Payment" if available

"I can't upgrade my plan"

If you're unable to upgrade:

  1. Check subscription status - Must be active or trialing
  2. Check payment method - Must have valid payment method
  3. Try different browser - Clear cache or try incognito
  4. Contact support - If issue persists

"I was charged but don't see the upgrade"

If you were charged but your plan didn't upgrade:

  1. Wait a few minutes - Processing can take time
  2. Refresh the page - Press F5 or Ctrl+R
  3. Log out and back in - Force a fresh session
  4. Check billing history - Verify the charge went through
  5. Contact support - With your invoice number

"I want a refund"

SignNXT's refund policy:

  • No refunds for partial months/years
  • Prorated credits for downgrades (applied to next bill)
  • No refunds after cancellation
  • Trial period is free (no refunds needed)

Exception: Contact support if you believe you were charged in error.


Security Considerations

Payment Security

Your payment information is secure:

  • ✅ Processed by Stripe (PCI-compliant)
  • ✅ Card details never stored on SignNXT servers
  • ✅ Encrypted transmission
  • ✅ Secure payment forms
  • ✅ No one can see full card numbers

SignNXT uses Stripe for payment processing. Your card details are handled securely by Stripe and never stored on our servers.


Billing Access

Only the Workspace Owner can access billing:

  • ✅ Prevents unauthorized changes
  • ✅ Protects payment information
  • ✅ Ensures billing accountability
  • ✅ Maintains audit trail

If you need to share billing access, consider:

  • Transferring ownership (contact support)
  • Sharing invoice PDFs (download and send)
  • Providing read-only access (not currently available)
